Overview
This is a high-leverage role supporting a multi-company founder and operator. You'll be the force multiplier behind a CEO running a venture-backed holding company, a private aviation business, and a venture studio with active portfolio companies. The work spans calendar, travel, communications, light project management, stakeholder coordination, and the quiet operational work that lets an executive spend their time on the right things.
Responsibilities
- Own the CEO's calendar with ruthless clarity — protect deep work time, prioritize against stated goals, and resolve conflicts with minimal back-and-forth.
- Manage inbox triage, drafting, and response — you'll have visibility into sensitive communications with investors, board members, partners, and senior hires.
- Coordinate complex travel: commercial and private aviation, ground transport, lodging, and itineraries that move with the plan.
- Run prep for meetings: agendas, briefing memos, pre-reads, and follow-up action capture.
- Support board and investor communications: scheduling, materials coordination, and light preparation of decks and updates.
- Own expenses, receipts, and the monthly reconciliation loop with finance.
- Coordinate across the CEO's other ventures as a trusted connector.
- Handle personal logistics and household coordination as needed.
- Project-manage ad hoc initiatives: event planning, offsite coordination, vendor selection.
Qualifications
- 5+ years as an EA or Chief of Staff supporting a C-level executive, founder, or senior investor — ideally in a high-velocity startup, venture capital, or founder-office environment.
- A bias for anticipation — you surface issues before they become urgent and move work forward without waiting to be asked.
- Exceptional written communication — you can draft in the executive's voice after a short ramp.
- Discretion and judgment with confidential information — financial, personnel, strategic, and personal.
- Strong systems sense — you pick up new tools quickly and use them to create leverage, not busy work.
- Calm under pressure — plans change, and you adapt without making it anyone else's problem.
- Comfort operating across multiple entities and contexts.
Nice to have
- Prior experience supporting a multi-company operator or serial founder.
- Familiarity with private aviation logistics or luxury lifestyle coordination.
- Exposure to investor relations or board operations at a venture-backed startup.
- Basic fluency with financial terms and light bookkeeping tasks.
